Job Description


This position supports Shared Services, including Organizational Development and Information Technology. Performs a variety of administrative, clerical and coordinative tasks in support of these Departments which include, but are not necessarily limited to, creating purchase requests and work orders, placing purchase orders, working directly with IT vendors regarding invoices and related questions, updating and managing data in numerous computer applications and databases, running periodic reports, operating standard office equipment, making conference and travel arrangements, processing paperwork, typing correspondence and memos, assisting and creating presentation materials and receiving and directing visitors and incoming phone calls. This position works under moderate supervision in performing a variety of tasks that require a degree of independent judgment and discretion.

Essential Duties and Responsibilities: -

  • Performs general administrative duties, such as answering telephones, generating reports and correspondence, preparing documents, and other general office duties.
  • Makes conference and travel arrangements; assists in planning and implementing conferences/meetings and special events; assists in making any necessary room rental, reservation or catering arrangements
  • Provides solid comprehensive support for Shared Services, including Organizational Development and IT
  • Assist with document management
  • Responsible for monitoring and tracking charges from vendors
  • Ongoing data management in numerous computer applications and databases
  • Perform special projects as needed
  • Responsible for preparing periodic reports and presenting results
  • Prepare and process purchase/work order requests, track orders, process payments/invoices and expense reports
  • Order IT equipment, software, peripherals, etc.
  • Assist in preparation of presentation materials
  • Meeting scheduling (on site and remote), room set-up, preparation of meeting materials, and agenda preparation
  • Some travel required for facilitating conferences, training, etc.
  • Assist with general overflow for Shared Services department


Qualifications: -

  • Minimum of 5+ years experience
  • High School Diploma required, B.S./B.A. preferred
  • Strong organizational, oral and written communication skills
  • Ability to learn and manage numerous computer applications
  • Strong analytical skills
  • Self-motivated and detail oriented
  • Ability to prioritize workflow and perform as a team player
  • Ability to manage multiple tasks and meet deadlines on a daily basis
  • Advanced PC skills (Word, Excel, PowerPoint, Microsoft Office o365 / Teams)
