Staffing Coordinator- Contract to Hire Opportunity!

POSITION SUMMARY: Responsible for the overall administrative functions of the branch to include filing, record keeping, payroll, obtaining supplies and working on special projects. Additional responsibilities would be answering calls and greeting incoming visitors from a diverse group, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

 Answers phone for office staff. Takes messages or fields/answers all routine and non-routine questions. Woks in cooperation with our phone system to cover phones. Checking any voice mails received before or after hours.
 Greet applicants and provide required paperwork and administering Prove IT testing.
 Initiate Background/Drug testing.
 Help in scheduling interviews. As well as confirming upcoming interview with candidates if needed.
 Establishes, develops, maintains and updates filling system for the office staff to include the Bullhorn database. To include entering the application and clients and job orders. Retrieve information from files when needed.
 Organizes and prioritize large volumes of information and calls.
 Open/date and distributes mail.
 Provide the highest quality customer service to both clients and candidates.
 Responsible for creating a sense of urgency when dealing with clients and applicants payroll. Sending timesheet instructions via e-mail to all new hires.
 Process payroll beginning on Fridays, complete by Monday.
 Completing Section 2 in EVerify for daily starts. Make sure all paper I9's or paper ID copies are filed in the I9 folder. NOT in the personnel file.
 Fax/email garnishments & court orders to Corporate.
 Fax/email unemployment forms to Corporate.
 Send all temporary verifications to TALX, work number.
 Check internal email.
 Keep office clean and neat.
 Perform other duties and responsibilities as assigned.
 Regular attendance and punctuality required.

SUPERVISION RECEIVED/EXERCISED: Perform duties under general direction of the office staff.

SCOPE OF DECISIONS: Ability to make sound decisions in a manner consistent with the essential job functions.


Education and/or Experience
 High school diploma.
 1 year of administrative experience.
 Strong analytical skills with ability to focus on details, as necessary.
 Strong problem solving skills with the ability to manage multiple projects/tasks and meet deadlines.
 Motivated with excellent customer service, interpersonal and verbal/written communication skills.
 Proficient in Microsoft Excel and Word and ATS is helpful. (Bullhorn) Aptitude for learning new systems is a must.

Math and Language Skills
 Excellent written/verbal/interpersonal communication skills sufficient to communicate and interact effectively with customers, co-workers and all levels of management.
 General knowledge of basic math skills, ability to add, subtract and calculate fractions/percentages.
 Effective listening skills.
 Excellent command of the English language, good use of grammar skills.

PC Skills
 PC proficiency and intermediate-to-advanced knowledge of Microsoft Excel, Word, PowerPoint, Outlook, sufficient to create and maintain spreadsheets, documents, letters, slide presentations and respond to email
 Typing skills/data entry.

Physical Abilities
 Ability to sit at a desk and use a computer for up to 8 hours a day; ability to use hands and fingers to type on a keyboard and use a mouse to navigate. Vision sufficient to view small details on a monitor.
 Ability to stand and walk up to 8 hours a day; stoop, bend and lift boxes weighing up to 35 lbs.
 Ability to hear and to verbally communicate using a telephone handset and/or connected headset device
 Ability to drive personal vehicle.

 Ability to maintain integrity and a positive and respectful demeanor within a professional environment with
coworkers, management and customers.
 Ability to maintain strict confidentiality.
 Ability to maintain a dedication to teamwork.
 Ability to complete the job in an organized timely manner.
 Posses a valid driver license in the state you will be working with current automobile insurance.

WORKING CONDITIONS: Climate controlled office environment during normal business hours. This roleroutinely uses standard of f ice equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Hours: M-F 8 AM to 5 PM

Position Location: Financial District- Boston, MA. (Parking is not provided)

Near South Station, State Street/Downtown Crossing and Government Center T stops
