Executive Administrative Assistant

Reports to: Director of Administration

Job Overview:
The Executive Assistant/ Project Coordinator will assist the Director of Administration with high level projects that will support the organization. You will organize, manage, and plan complex projects for the organizations research, development, and product implementation efforts. You will have an impact on the day-to-day efficiency of our operations, and ongoing impact on our overall growth. You must have a thorough knowledge of reporting, which includes being an intermediate - master skilled on Excel, creating reports, assimilating reports and analyzing reports.
Responsibilities/Duties:

  • Assists Director of Administration with reports, expenses and spreadsheets.
  • Manage projects directly related to business strategy and growth of the company.
  • Coordination and completion of projects on time within scope, set deadlines, assign responsibilities, and continuously monitor progress.
  • Extensive calendar and time management; ensures that Director is on time and prepared for meetings; consistently reviews calendar for changes, continually monitors and handles conflicts; travel arrangements, etc.
  • Communications with vendors, various companies and 3rd party resources.
  • Assist in managing Director's brainstorming/outlines/tasking follow ups, etc.
  • Conducts cost analysis, estimating expected costs for the project.
  • Prepares and implements a budget based on estimates.
  • Conducts risk assessments; reports identified risks to management; provides recommendations for mitigation of risk (including termination of the project if appropriate).
  • Addresses questions, concerns, and/or complaints throughout the project.
  • Acts as a liaison between company, customers, and vendors.
  • Performs other duties as assigned.

  • Proficient with Microsoft Office Suite or related software, MS Excel, pivot tables and charts, and general research computer skills.
  • Ability to transcribed notes, directives, and provide documents to supervisor.
  • Bachelor's degree in in Computer Science, Business, , or other related field; will consider Associates Degree with 2 years' experience in executive assistant position and/or project coordination. PMP, PgMP, CAPM, and/or comparable project management certifications highly desirable.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
